Step 3: Submit Application

Opening hours are Monday to Friday from 11am to 3pm.

Did you remember to print your receipt from the Visa Self Service Portal? This receipt serves as proof of payment for your visa and without it your application is not admissible.


When you have submitted your application online, please book an appointment at one of the VFS Global centres, located in Ottawa, Toronto and Vancouver.

Please note that when booking an appointment online, it will be at a VFS Global Centre, not at the Embassy or any of our consulates.

Please do not show up for your appointment more than 10 minutes in advance.

If you have had your biometrics recorded within the last 59 months with the specific purpose of obtaining a Schengen visa, we may be able to reuse the fingerprints for a new application.

You can mail your name, date of birth, country of citizenship, the passport number and/or the visa sticker number for which you believe your biometrics were recorded for. We will then check the availability in our system.

In rare cases, it is not possible to import the biometrics, even if they are present in the system. If you mail in your application and we are not able to locate your biometrics, a personal appearance will be mandatory.

Please mail your application to Vancouver if you are a resident in the following provinces:

  • Alberta
  • British Columbia
  • Manitoba
  • Saskatchewan

Please mail your application to Ottawa if you are a resident in the below provinces.

If you mail your application to the Toronto office, please be advised that it will be forwarded to the Ottawa office, which will cause an additional delay due to shipping.

  • Quebec

Biometrics recorded for residence permits of Schengen member states, Canadian or US visas and similar cannot be used for a Schengen visa.

If you are mailing your application to VFS, please include the following items in addition to the documentation listed on the appropriate checklist in Step 2:

  • One up-to-date passport photo of yourself (no more than 90 days old).
  • A copy of the visa sticker your biometrics were previously recorded for.
  • A certified cheque made out to VF Services (Canada) Inc in the required amount, which covers VFS Global's administrative fee as well as return shipping.Please note that it must be a certified cheque or a bank draft. Personal cheques and postal money orders are not accepted. A list of fees can be found here.

Would you like case processing times to be reduced?

The consular officers spend a significant amount of time answering phone calls and emails. We therefore ask you to please not contact us in order to check the status of your application, unless the current processing time (15 days) and shipping time (an additional 1-3 days) has been exceeded.

You are also encouraged to read through the visa pages on our website, including the document checklists, before contacting us for assistance, as both resources contain detailed information about the process. This way we can focus on case processing and expedite a higher volume of cases in less time.

Your application will not be processed faster if you contact us often.

Please note that neither the Embassy nor our consulates can be held responsible for technical difficulties, human errors or shipping delays in the processing of passports, permits and visa applications.

It is the applicant’s responsibility to apply in time for the intended departure.


For passports: 5 weeks prior

For permits: 3 months prior

For visas:  15 days + 2-3 days of shipping to and from the Embassy.


The processing times may be longer than this during peak travel season (May, June, July, August and December) due to case volume or if cases require further scrutiny.
